Only administrators see the settings in this overview. Each section says where a setting is in the main menu and links to the article with the steps.

The main menu of the Venzeo™ web app is collapsed at first: click **Show Menu** to expand it.

## Keep the screen simple for your field team

Optional features, such as places of interest, assets, projects, tasks and groups, are turned on or off for the whole organisation. A feature that is off is hidden from everyone, on the web and in the mobile app, so your team sees only what it uses.

To turn a feature on or off, see [Turning optional features on or off](https://help.venzeo.com/en/article/customizing-interface).

## Reports

Every user with web access can view, filter and export reports. Administrators can also:

- Delete a report.
- Set up the statuses a report can have, for example one that marks a report as no longer valid. See [Tracking report progress with statuses](https://help.venzeo.com/en/article/status-management).
- Review the PDF and CSV exports and public links your team has created, and deactivate a link that should stop working. Open the main menu, expand **Exported PDF, CSV & Links** and choose **Manage PDF, CSV & Links**.

Reports open in several views, all under **Reports** in the main menu: **List view**, **Map view** and **Gallery View**. When the matching feature is on, the menu also shows **Places of Interest view**, **Asset View**, **Project View** and **Task View**. See [Viewing reports in a list, map or gallery](https://help.venzeo.com/en/article/viewing-reports-in-a-list-map-or-gallery).

## Users

To invite a colleague, open the main menu, expand **Users** and choose **Invite new user**.

Each person has one of three levels of access: user without login access, web user or administrator. See [User roles](https://help.venzeo.com/en/article/user-types).

If your organisation uses groups, groups decide which reports each person sees. See [Setting up groups for separate teams](https://help.venzeo.com/en/article/groups).

To give someone access or change it, see [Adding a new user](https://help.venzeo.com/en/article/adding-new-user) and [Editing a user](https://help.venzeo.com/en/article/user-editing). To see who changed what, see [Checking who changed a report in the audit log](https://help.venzeo.com/en/article/audit-logs).

## Tags and categories

Tags (previously called types) describe what a report is about, for example "Damaged vehicle" or "Cleaned area". Every tag belongs to a category. You decide which tags and categories your team can choose in the mobile app.

To manage them, open the main menu, expand **Tags & Categories** and choose **Manage Tags & Categories**. See [Adding and editing tags (types) for reports](https://help.venzeo.com/en/article/managing-types) and [Grouping tags into categories](https://help.venzeo.com/en/article/managing-type-categories).

## Mobile app and devices

Your field team uses the Venzeo™ mobile app to create photo reports. Every report carries a timestamp, the GPS location and the photos, plus any tags and notes the reporter adds.

Before someone can use the app, you activate it on their phone or tablet from **Venzeo™ Mobile App & Devices** in the main menu. See [Activating the mobile app on a device](https://help.venzeo.com/en/article/activating-mobile-app).

To see the phones and tablets in use, see [Managing phones and tablets that use the mobile app](https://help.venzeo.com/en/article/devices-with-mobile-app). To stop a phone from sending reports, see [Deactivating a mobile device](https://help.venzeo.com/en/article/deactivating-mobile-app-device-within-admin-interface).

## Places of interest

Places of interest (POIs) are an optional list of fixed places, for example collection points, buildings or equipment that does not move. Reports linked to a place are easy to filter and track.

Each place of interest needs GPS coordinates. It can also have a custom ID, a name, an address and a note.

To manage them, open the main menu, expand **Place Of Interest (POI)** and choose **Manage POIs**. See [Setting up places of interest (POIs)](https://help.venzeo.com/en/article/managing-places-of-interest).

## Assets

Assets are an optional list of physical objects, for example bins, vehicles or fire extinguishers. Each report linked to an asset adds to its inspection history.

To manage them, open the main menu, expand **Assets** and choose **Manage assets**. See [Tracking assets such as bins and vehicles](https://help.venzeo.com/en/article/managing-assets).

## Projects and orders

Reports can also be linked to projects. A project can stand for a customer order or any long-running piece of work.

Each project has a unique ID and a name, and can have a description. You can also set the dates when a project is active, so it appears in the mobile app only during that period.

To manage them, open the main menu, expand **Projects** and choose **Manage Projects**. See [Grouping reports by project](https://help.venzeo.com/en/article/managing-projects).

> **Tip:** Start with a few tags and one activated device. Add places of interest, projects and groups once your team is comfortable with the basics.
