Introducing Venzeo™ to your team and works council

What the Venzeo™ app records about reporters, when it records location and time, who sees it, and how to hide faces and plates.

This page is for the people who introduce Venzeo™ to a field team, for example managers, HR, the data protection officer or the works council.

Venzeo™ documents work results, not people. A reporter is anyone who takes photos in the Venzeo™ mobile app: your own staff, a contractor or a remote supplier. A report is created only when a reporter decides to take photos and send them.

What a report contains

Each report records what the reporter chose to capture, and the facts that make it trustworthy:

  • the photos and videos, and the tags, notes or signature the reporter added;
  • the time and GPS position of each photo, with the position’s accuracy;
  • the reporter and the device that sent the report;
  • device and security information that Venzeo™ uses to certify the report. See Why photos must be taken in the Venzeo™ app.

When location and time are recorded (no tracking)

The app records the position and time when the reporter takes photos for a report. The web interface shows these on each report and on the map of reports.

The web interface does not show a route, a live position or a person’s location between reports. For each device, administrators see the Last Time User Opened Venzeo™ Mobile App. It shows a date and how long ago it was, for example “(2 hours ago)”.

When it is activated, the app asks for these permissions: the camera, the precise location, the microphone, the phone state (called “Allow Connection Check” in the app), notifications and NFC. On iPhones it also asks for motion data and speech recognition. The microphone records video sound and dictation. Dictated audio is turned into text on the phone or by a speech-recognition service. The app does not read the contacts on the phone. For details, see the Venzeo privacy policy.

Who sees the reports

People in your organisation who can sign in to the web interface see the reports. People outside it see a report only when someone shares it, for example through a public link, or when their email address gets an email alert for the report’s tag. If your organisation uses groups, each person sees only the reports of colleagues who share a group with them. Reporters who only use the mobile app cannot open the web interface. See User roles.

Reports stay in Venzeo™ until your organisation deletes them. The audit log of changes to reports is kept for 180 days.

Faces and licence plates

Photos taken in public places can show people and vehicles that are not part of the job. Venzeo™ does not blur them when the photo is taken. Before a report is shared outside your organisation, a user can censor its photos. In the web interface, they use Censor photo (faces, text and plates). Links shared outside your organisation then show only the censored photo. See Editing images.

Tip: Agree with your team which situations they photograph. Ask them not to photograph people who are not part of the job.

For where Venzeo™ stores the data and how it is protected, see How Venzeo protects your data.
