Ending your subscription: exporting and deleting your data

How to cancel Venzeo™, export your reports and photos first, and have your organisation's data deleted (GDPR, data ownership).

Answers for administrators who want to end their Venzeo™ subscription or need to know what happens to their data.

Who owns the data in Venzeo?

Your organisation does. The Venzeo terms of use state that the customer organisation owns the collected data. Your reports, photos and users stay in Venzeo until Venzeo deletes your organisation at your request.

Who can see our data?

  • Users of your organisation, depending on their role and groups. See User roles.
  • Anyone who has a public link, PDF or file that your users created and shared.
  • The service providers that host Venzeo. See How Venzeo protects your data.

How do we end our subscription?

Write to support@venzeo.com from the email address of an administrator. State whether Venzeo should delete your organisation’s data, and on which date. Administrators cannot cancel or delete the organisation in the web app.

How do we export our reports?

Warning: Export your data before you ask for deletion. Deleted data cannot be restored.

In the filter, choose All time as the time period. Then download the reports as an Excel or CSV file, or as a PDF. See Exporting filtered reports.

How do we export our photos?

Open the main menu and, under Reports, choose Gallery View. Set the filter to All time, click the export button and choose Download all filtered photos.

Can we export everything at once?

No. There is no single button that exports everything, such as users and devices, in one package. For large amounts of data, your IT team can download every report through the API. See Connecting your system to Venzeo through the API.

What happens to our data when the licence ends?

Nothing is deleted automatically. Your organisation keeps working with the limits of an organisation without a licence. Venzeo may also deactivate it, which blocks access but does not delete reports, photos or users. See Free reports, licence and deactivation: common questions.

What does deletion remove?

Deletion removes your organisation and all its content:

  • reports, photos and videos
  • exported files and public links
  • places of interest, assets, projects and tasks
  • users, devices and the audit log

What does Venzeo keep after deletion?

According to the terms of use, Venzeo keeps information about your organisation and its representatives in its CRM system and email provider for 10 years after the licence ends. This covers names, phone numbers, email addresses, meeting notes, support tickets and usage statistics.
