Only administrators can manage assets. Every web user can open Asset View.
An asset is a physical object that your team inspects or services, such as a bin, a van or a fire extinguisher. Each asset has its own custom ID, and every report attached to it adds to its inspection history.
Turn on assets
While the feature is off, Assets is in the Inactive part of the main menu.
- Open the main menu, expand Assets and choose Manage assets.
- Click Activate Asset functionality. Venzeo™ shows Successfully saved and reloads the page. Attaching an asset to a report is now optional.
- Optional: under Assets are:, choose Required so that every report needs an asset.
To turn the feature off, choose Disable Assets and confirm with Deactivate. Your assets are kept, but they are hidden everywhere, including the mobile app.
Add an asset
- Open the main menu, expand Assets and choose Manage assets.
- Click Create new asset.
- Optional: fill in Custom ID, for example the asset tag or serial number. Leave it empty and Venzeo generates one.
- Fill in Name, for example
Bin 14. The name is required. - Optional: fill in Description. Reporters see it in the mobile app.
- Under Location, choose where the asset is:
- Linked to a place of interest: select the place of interest. The asset uses its position.
- Own GPS location: start typing in Street and pick a suggestion, or click the map.
- No location: for an object that moves, such as a van.
- Click Save. The pop-up closes, Venzeo shows Successfully added and the asset appears in the list.
Edit an asset
- Open the main menu, expand Assets and choose Manage assets.
- Click Edit next to the asset.
- Change the fields and click Save. Venzeo shows Successfully saved.
Deactivate an asset
A deactivated asset is hidden in the mobile app, so no new report can be attached to it. Existing reports keep it, and you can still filter reports by it.
- Open the main menu, expand Assets and choose Manage assets.
- Click Edit next to the asset.
- In the pop-up, click Deactivate and confirm with Yes. Venzeo shows Successfully deactivated.
To bring an asset back, turn on Show inactive assets and click Reactivate next to it.
Assets in reports
Reporters attach one asset per report in the mobile app: they search it by name, or scan a QR code or NFC tag that contains the asset’s custom ID. When the asset is linked to a place of interest, Venzeo also attaches that place of interest, unless the report already has one. To check which assets have reports, open the main menu and choose Asset View under Reports.
To attach an asset to a report on the web, see Creating a report on the web.
