Only administrators can see the export history and deactivate exports.
Venzeo™ adds a row to the export history every time someone in your organisation exports a PDF, CSV or Excel file, or creates a link with Share via URL link; no sign-in required or Share via EMAIL the URL link. Links to a single report, created with Share link, are not listed.
Review the exports
- Open the main menu, expand Exported PDF, CSV & Links and choose Manage PDF, CSV & Links. The Exported PDF, CSV & Links page opens with the newest export first.
- Optional: type in the search field to find exports by link, recipient or author. Every word you type must match.
- Optional: click the Created date, Type, Link or active column heading to sort the table.
- Optional: click Load More to show the next page of exports.
What the columns show
- Type:
PDF,CSV,XLSX(Excel) orLINK(a shared view of reports). - Link: Open shows a PDF or a shared view in a new tab; Download saves a CSV or Excel file to your device.
- Created date and Author: when the export was made and by whom.
- Time period and Filter: which reports the export contains.
- Recipient: the email address the file was sent to, Downloaded, not emailed for a file that was downloaded straight away, or Unknown recipient for a link.
- active: Yes while the file or link still works, No after it was deactivated.
Venzeo™ creates a new link each time someone opens the share pop-up, even without copying the link, and one more for Share via EMAIL the URL link. The same reports can therefore appear in several LINK rows.
Deactivate an export
You can deactivate PDF, CSV and LINK rows. XLSX (Excel) rows cannot be deactivated yet.
Warning: You cannot undo a deactivation in the web interface. Copies that people already downloaded stay on their devices.
- Open the main menu, expand Exported PDF, CSV & Links and choose Manage PDF, CSV & Links.
- Find the row of the export, for example by searching for its author or recipient.
- In that row, click Deactivate.
The message “The link will be deactivated within the next 15 minutes.” appears and active changes to No. A deactivated link shows, from its next opening, that it has been deactivated and that the reader should contact your administrator. A deactivated PDF or CSV file is replaced, within 15 minutes, by a file that says an administrator deleted it.
To create a shared link, see Sharing a live view of reports. For all export options, see Exporting filtered reports.
