Completing tasks automatically with a closing tag

A task stays in the Venzeo™ mobile app until it expires. With a closing tag you let the reports themselves close it: as soon as a report attached to the task has that tag, the task is marked as Completed.

Example: a road-repair task has the closing tag Fixed. Reporters send reports tagged Pothole and In progress while they work. The report tagged Fixed completes the task.

Only ordinary tasks can be completed this way. One-time requests (Venzeo™ Requests sent by SMS) keep their own flow and lock themselves when the request is submitted.

Set the closing tag

1. Open the main menu, expand Tasks and choose Manage tasks. Click Create new in-app Venzeo™ task, or click Edit task on an existing task.
2. Under Auto-complete, choose Complete when a report has a tag.
3. Select the tag that completes the task. You can pick exactly one tag.
4. Click Save.

The task now shows an Auto-completes on tag … badge in the task list and in the task view, so everyone can see how it will be closed.

To stop completing the task automatically, edit it and choose Don’t auto-complete.

What completes the task

The task is completed when a report attached to the task has the closing tag:

• A reporter sends a report for the task from the Venzeo™ mobile app with the closing tag.
• Someone creates a report for the task on the web with the closing tag.
• An administrator edits a report and adds the closing tag. For example, the report has the tags A, B and C and the closing tag is D: once the administrator changes the report’s tags to include D, the task is completed.
• An administrator attaches a report that already has the closing tag to the task.
• An administrator sets the closing tag on a task that already has an attached report with that tag.

Reports that are not attached to the task never complete it, even when they have the tag.

What “Completed” means

• The task shows a Completed badge in the task list and in the task view. The change appears right away, without reloading the page.
• The task disappears from the Venzeo™ mobile app the next time the app syncs.
• The task stays editable, and its reports stay attached.

Removing the closing tag from the report, or detaching the report, does not reopen the task.

Mark a task as completed or not completed by hand

You can also switch the state yourself, with or without a closing tag:

1. Click Edit task on the task.
2. Under Completion status, choose Completed or Not completed.
3. Click Save.

A task you switch back to Not completed appears in the mobile app again. It is completed again only by a new trigger — a new report with the closing tag, or an administrator adding the tag or attaching a tagged report — not by unrelated edits.
