Sharing a live view of reports

Share a public link to filtered reports that opens without signing in, and keep it current with a moving time period.

Any user with web access can create a public link. Only administrators can deactivate it.

A public link shows the reports that match your filter or selection. People who open it do not need a Venzeo™ account.

Create the link

  1. Open the report list and set the filter to the reports you want to share. See Filtering reports.
  2. Optional: to share only some of these reports, select them with Select.
  3. In the top bar, click the export button, for example Export & Share 24 reports. With the menu or the filter open on a smaller screen it reads Export, and on narrow screens only its icon shows.
  4. Choose Share via URL link; no sign-in required. The Public access to your selected reports pop-up opens and creates the link.
  5. Click Copy the URL link. The message “URL link has been copied to the clipboard” appears.

Paste the link wherever you need it. To send it by email instead, click Share via EMAIL the URL link in the same pop-up. Your email program opens with a new, separate link.

Tip: Check the number of reports on the export button before you share, so you do not share anything sensitive.

Which reports the link shows

  • Last 24 hours or Last 7 days: always the most recent reports. The pop-up warns you about this.
  • Any other time period, including All time: new reports do not appear.
  • Selected reports: exactly those reports.

Changes to these reports, such as edited photos, reach the recipient right away.

What the recipient sees

The recipient sees each report’s photos with their time and GPS position, the address, tags and categories, place of interest and project. Edited photos appear only in their edited version. Report notes appear only when your organisation has them switched on. The recipient does not see who sent a report, its status or its comments.

The link has the tabs List and Map, plus Places and Projects when your organisation uses places of interest or projects.

To share a single report instead, see Sharing one report via email.

How long the link works

The link does not expire. Only an administrator can deactivate it, under Manage PDF, CSV & Links in the main menu. See Reviewing and removing exported PDFs, CSVs and links. Afterwards, the list, Places and Projects say that the link has been deactivated.
