Only administrators can create and edit tasks. Any user with web access can follow tasks in the Task View.
A task tells your field team what to do in the Venzeo™ mobile app, and collects the reports they send for it. If the Tasks Settings page shows Activate Tasks functionality, click it first. To assign people, their mobile app must be active, see Activating the mobile app on a device.
Create and assign a task
- Open the main menu, expand Tasks and choose Manage tasks. The Tasks Settings page opens.
- Click Create new in-app Venzeo™ task. The Create In-App Venzeo™ Task pop-up opens.
- Enter a Title.
- Optional: enter a Custom ID, such as your order number. Empty means Venzeo™ creates one.
- Optional: add a Description.
- Under Assigned Users, keep Anyone from our team, or choose Assign users and select the people.
- Optional: connect the task with Set task location, Attach project, Attach POI or Attach tags.
- Optional: under Expiration Date, choose Set a date. After that date the task no longer appears in the mobile app.
- Click Save.
The pop-up closes, Successfully saved appears and the task joins the list. Assigned people see it in the mobile app; with Anyone from our team, every device of your organisation does.
To close the task automatically when a report has a certain tag, see Completing tasks automatically with a closing tag.
Follow tasks in the Task View
- Open the main menu and, under Reports, choose Task View.
- Find the task by its custom ID and title. It shows its state, such as Completed, its Attached reports count and the reports.
- Optional: click Filter reports and set Show Tasks with at least this number of reports to 1 to hide tasks without reports. On a phone the button is called Filter.
Change a task
You can also start from the Tasks Settings page, where the button is called Edit. To copy a task, click Duplicate in its row there.
- In the Task View, click Edit task on the task.
- In the pop-up, change the fields you need.
- Click Save. Successfully saved appears.
End a task early
Warning: Expire Task sets the expiration date to yesterday, and field users no longer see the task in the app.
- In the Task View, click Edit task on the task.
- In the pop-up, click Expire Task. The button is missing when the task is already expired, locked or completed.
- In the confirmation, click Expire Task again.
The message “Task has been successfully expired” appears.
