A skip hire order has several visits: delivery, maybe an exchange, and the pickup. Each visit can end in a dispute about where the skip stood, what was in it or why it could not be hauled. The office then needs every photo of that one order to invoice it or defend it.
Make each customer order a project
Create a project for each order, with your order number as the custom ID. Drivers attach the project to every report, so delivery, exchange and pickup end up in one place, and the project’s reports show the whole order. Orders can also arrive from your order system through the Venzeo™ API. See Grouping reports by project.
Example: order 102030 has a delivery report with the empty skip on the driveway and a pickup report with the full skip and the cleaned site.
Send drivers a task with the address and what to do
Give a driver a task for each job. Set the task location, so the driver sees exactly where to go, and write in the description what to do there, for example “Place a 7 m³ skip on the driveway, the customer is not at home”. Attach the order’s project and the tags the driver should use. See Creating and assigning tasks.
To close the task as soon as the driver records the pickup, see Completing tasks automatically with a closing tag.
Use tags for the billing data
Let drivers pick the container activity, skip size, waste type and billing details from tags (previously called types) instead of typing notes, so the office can filter and invoice without phoning the driver. See Adding and editing tags (types) for reports. A complete example set of categories is in Setting up tags so reports reach the right team.
Track invoicing with statuses
Use statuses for the office work, for example Unchecked, Checked and Invoiced. Accounting invoices only checked reports. See Tracking report progress with statuses.
