Setting up Venzeo™ for water and utility services

Hydrants and valves as assets with QR codes, projects per repair order, tasks for crews and leak alerts, so utilities can prove each job.

A water utility looks after many hydrants, valves and covers across its network. Crews flush, clean and repair them every day. Without photos linked to each object, nobody can say when a hydrant was last checked or what a repair crew found.

Register hydrants, valves and covers as assets

Create an asset for each hydrant, shut-off valve or cover, with the number from your network register as the custom ID. Give it its own GPS position and put a QR code or NFC tag with the custom ID on it. The asset history then shows every visit to that object. Assets can also arrive from your network register through the Venzeo™ API. See Tracking assets such as bins and vehicles.

Example: a crew scans the QR code on a hydrant, photographs the flushing and picks the tags (previously called types) Hydrant and Flushing.

Make each repair order a project

Create a project for each repair or reconstruction order, with your order number as the custom ID. Crews attach the project to every report, so the photos from the excavation to the restored surface stay together. See Grouping reports by project.

Send crews a task with the location and instructions

Give a crew a task for each job. Set the task location, write in the description what to do, and attach the project and the tags to use. The office follows open jobs in Task View. See Creating and assigning tasks.

Tag the object and the service

Use two tag categories. The object category has tags such as Hydrant, Valve, Cover, Cap and Pipe. The service category has Cleaning, Repair, Flushing and Reconstruction. Require a tag only in the object category, so every report says which object it concerns. A leak report then needs an object tag but no service tag. See Adding and editing tags (types) for reports.

Alert the dispatcher to leaks

Add a Leak tag to the service category and send an email alert to the dispatcher or the repair team. The alert goes out as soon as a new report with that tag arrives. See Activating an email alert notification.
