A traffic management company places, checks and removes signs, barriers and portable traffic lights. When a sign goes missing or a driver claims a closure was badly marked, you need photos that show what stood where, and when.
Give each permanent sign an ID and a QR code
Create an asset for each permanent sign, with your sign number as the custom ID and the sign’s own GPS position. Put a QR code or NFC tag with that ID on the post. The crew scans it, and the asset history shows every report about that sign. See Tracking assets such as bins and vehicles.
Make each closure or roadworks permit a project
Create a project for each closure, with the permit number as the custom ID and From/To dates for the permit period. The crew attaches the project to every report, so placement, checks and removal of that closure are in one place. See Grouping reports by project.
Example: the crew photographs the barriers and diversion signs when they set up a closure, and again when they remove them after the roadworks.
Record the condition with tags
Use tags (previously called types) for the work done, such as Installed, Checked and Removed. Add a category for the condition, such as Damaged, Repaired, Cleaned, Missing and Covered. Then you can filter every missing sign at once. See Adding and editing tags (types) for reports.
Send the crew a task for each check round
Tasks do not repeat, so create a new one for every round. Set the task location, connect the closure’s project, and write in the description what to check, for example “Check all signs and lights of the closure, replace missing ones”. See Creating and assigning tasks.
Alert the right person about missing or damaged signs
Set an email alert on Missing and Damaged, so the person who sends a replacement knows at once. The alert goes out only when a new report has that tag. See Activating an email alert notification.
