In essence, the Groups functionality is designed to structure an organization's users and data within Venzeo™, ensuring that users and administrators only see and manage what is relevant to them, enhancing both security and organization.

Key Aspects of the Groups Functionality:

Benefits:

  • The Groups functionality helps you organize users into teams or departments, enhancing security by ensuring users only see relevant data. It simplifies user management through delegated administration and streamlines reporting with group-based filtering and exports.
  • By organizing users into groups, you can control who sees which reports. Administrators can manage users only within their assigned groups. This simplifies access control and makes it easy to filter reports and create exports (like PDF or CSV) for specific teams, improving workflow efficiency and data privacy.

User Organization:

  • You can create, edit, and manage groups, assigning each a unique name, a description, and a color for easy identification.
  • Users (reporters) must be assigned to at least one group. This seems to be a mandatory rule when the feature is active.
  • Each user can be assigned to one or more groups, and each group can be assigned to one or more users.

Access Control for Users:

  • A user's access is scoped by their group membership. They can view reports created by other colleagues who are in the same group(s). This creates logical separations of data and users within an organization.

Scoped Administration:

  • The feature introduces a level of scoped administration. An administrator can only manage users and invite new users into the groups they themselves are a member of.
  • This implies there are different levels of administrators, with some having broader permissions to manage all groups.

Data Filtering and Exporting:

  • You can filter reports based on groups. This allows you to easily find all reports associated with a specific team or department.
  • This filtering capability extends to exports, as you can generate PDF or CSV files containing reports from selected groups only.

Integration into the Venzeo™ System:

  • Dashboard & Menu: "Manage Groups" is a main feature accessible from the dashboard and the main menu.
  • Settings: The entire functionality is managed within the settings, where you can enable/disable it, and manage the groups themselves.
  • Users & Devices: When inviting a new user or activating a device, you assign them to the relevant group(s).
